Scheduling across time zones: a guide for remote and global clients

Scheduling across time zones shouldn't mean 3am calls and missed meetings. Here's how to make cross-border booking painless for you and your clients.

If you work with clients in other cities or countries, you already know the pain: scheduling across time zones turns a simple booking into a maths problem, and one slip means a call at 3am or a meeting nobody shows up to. The good news is it's almost entirely avoidable — the fix is letting the system do the conversion, not you.

Why time zones cause so many missed meetings

The classic failures are all human: someone mentally converts the time wrong, an email says "3pm" without saying whose 3pm, or daylight-saving shifts throw everything off by an hour. Each one ends the same way — a no-show that wasn't anyone's fault, just a time-zone mix-up.

Let the booking page do the maths

The single biggest fix: let clients book from a page that detects their time zone and shows slots in their local time automatically. You set your availability once in your own time zone; every visitor sees the times converted to theirs. Nobody calculates anything, so nobody gets it wrong.

Make the time zone explicit everywhere

Belt and braces: confirmations, reminders and calendar invites should all state the time with the time zone named ("2:00 PM GST"), and ideally in the client's local time too. An automatic calendar invite is the safest of all — it lands in their calendar already converted, so their own device does the final check.

Protect your actual working hours

Global clients are great until you're taking calls at midnight. Set your availability to your real working hours in your own time zone, so the booking page only ever offers slots you're genuinely awake and available for — no matter where the client is. Add buffers so back-to-back cross-zone calls don't run into your evening.

A quick checklist

  • Booking page auto-detects and shows the client's local time.
  • Availability set in your own time zone, within your real working hours.
  • Every confirmation, reminder and invite names the time zone.
  • Calendar invites sent automatically so both sides' devices convert.

Where to start

Turn on time-zone detection on your booking page and send automatic calendar invites. That combination alone removes almost every time-zone no-show — and you'll never do the mental maths again.
