Buffers and minimum notice: protect your day from your own calendar

An open booking page without guardrails lets clients book you back-to-back and twenty minutes from now. Two simple settings put you back in control.

Opening your calendar to online booking is freeing — right up until someone books you solid with no gaps, or lands an appointment for twenty minutes from now while you're mid-task. An open booking page needs guardrails. Two settings do most of the work: buffer time and minimum notice.

Buffer time: breathing room between appointments

A buffer is a protected gap before or after a booking that can't be booked over. It's the time to:

  • reset the room, clean up, prepare for the next client;
  • travel between locations, or just walk from one thing to the next;
  • write up notes, send a follow-up, take a breath.

Without buffers, clients can stack appointments nose-to-tail, and one over-running session collapses your whole afternoon. A ten or fifteen-minute buffer keeps the day from becoming a treadmill — and keeps the quality of each appointment up, because you're not permanently behind.

Minimum notice: no more twenty-minutes-from-now bookings

Minimum notice sets how far ahead someone must book — say, at least two hours, or by the end of the previous day. It stops the scramble of a booking appearing with no time to prepare, travel or even see it. You decide the shortest warning you can work with, and the page won't offer anything inside it.

Set them to how you actually work

The trap is leaving these at zero "to be flexible," then paying for it with chaos. Think about your real day:

  • How long do you genuinely need between clients? → that's your buffer.
  • What's the least notice you can take a booking on without stress? → that's your minimum notice.

Set both once, and your booking page starts protecting your time instead of selling it off without limits.

The balance

Guardrails aren't about being less available — they're about staying good at what you do. A calendar with sensible buffers and honest notice windows means every client gets you prepared and on time, instead of frazzled and running late. Flexible enough to book easily; structured enough to survive a busy week.
