Google Calendar appointment scheduling: what it does and where it stops
Google Calendar now takes bookings — handy, and free if you have Workspace. But it's basic. Here's what it covers and when you'll need a real booking tool.
Google Calendar can now hand out a booking page and let people schedule time with you directly. If you live in Google Workspace, it's convenient and effectively free — and for simple needs, it's genuinely enough. But it was built as a calendar with booking bolted on, not as a booking tool, and the gaps show quickly.
What it does well
- A clean booking page tied straight to your Google Calendar.
- Automatic conflict checking against your existing events.
- Basic confirmations and reminders.
- Zero extra cost if you already pay for Workspace.
For a consultant taking the occasional call, that may be all you need.
Where it stops
The limits arrive fast for a real service business:
- Payments. No proper deposit or payment-at-booking flow — a big miss if no-shows cost you.
- Booking types. One-to-one only; no capacity sessions, group events or request-to-book.
- Branding. It's Google's page, not yours — limited logo, colours or custom domain.
- Teams. Routing bookings across staff isn't its job.
- Workspace required. The scheduling feature needs a paid Workspace plan; a free Gmail account doesn't get the full capability.
When to move on
Stick with Google Calendar scheduling if you're solo, take simple one-to-one bookings, and don't need to collect payment. Move to dedicated booking software the moment you need any of: deposits to stop no-shows, group or capacity sessions, your own branding and domain, team routing, or payment at booking.
The middle path
You don't have to abandon Google Calendar — a good booking tool syncs with it two ways, so your Google events still block your availability while the booking tool adds the payments, branding and booking types Google lacks. You keep the calendar you like and add the booking engine it was never meant to be.
