How to write an appointment cancellation policy (with examples)
A clear appointment cancellation policy cuts no-shows without scaring clients away. Here's exactly how to write one — notice periods, wording and copy-ready examples.
A good appointment cancellation policy does two jobs at once: it protects your time from last-minute drop-offs, and it sets clear expectations so clients never feel ambushed. Get it right and no-shows fall without a single awkward conversation. Get it wrong — or skip it entirely — and you absorb the cost of every empty slot yourself.
Here's how to write one that's firm, fair and easy to enforce.
What an appointment cancellation policy should include
Every solid policy answers four questions plainly:
- How much notice you need to cancel or reschedule (e.g. 24 or 48 hours).
- What happens if that notice isn't given (fee, forfeited deposit, or a warning first).
- How to cancel — the one-tap link or method, so it's genuinely easy.
- Any exceptions — emergencies, illness, first-time grace.
Keep it to a few sentences. A policy nobody reads protects nobody.
Set a notice period that fits your business
Match the window to how far ahead you could realistically refill the slot:
- Quick, high-demand services: 24 hours is usually enough.
- Long or specialist appointments: 48 hours, because the gap is harder to fill.
- Group sessions or classes: a longer window, since one drop-off affects the whole session.
The notice period is the heart of the policy — it's the difference between a cancellation you can resell and a dead slot.
Wording: firm but welcoming
Clients don't object to policies. They object to feeling distrusted. Frame it around holding their spot, not punishing them:
✅ "To keep appointments available for everyone, we ask for 24 hours' notice to cancel or reschedule. Late cancellations may forfeit the deposit."
❌ "Cancel late and you will be charged. No exceptions."
Same rule, opposite feeling.
Copy-ready examples
Solo service (salon, therapist, consultant): "Please give at least 24 hours' notice to cancel or reschedule, using the link in your confirmation. Cancellations inside 24 hours may forfeit the deposit. We understand emergencies happen — just let us know."
Deposit-based: "A small deposit secures your booking and goes towards your service. It's fully refundable with 48 hours' notice; inside that window it's retained to cover the held time."
Clinic / multi-provider: "Appointments cancelled with less than 24 hours' notice, or missed without notice, may incur a fee or require a deposit for future bookings."
Make the policy do the work for you
A policy only reduces no-shows if clients see it and it's easy to act on. Show it at the point of booking, repeat it in the confirmation and reminders, and pair it with a one-tap reschedule link so moving an appointment is always easier than skipping it. Back it with a modest deposit on your highest-risk services and the policy mostly enforces itself.
Where to start
Write three sentences: your notice period, the consequence, and how to cancel. Add it to your booking page and confirmations this week — it's the cheapest no-show reduction you can make.
